Workflow Builder

The Workflow Builder allows you to design end-to-end operational processes, assign tasks, enforce conditional logic, and track stage-by-stage progress. You can apply workflows to incidents, contract lifecycles, supplier assessments, risk reviews, and more

Creating a New Workflow

To create or manage workflows, go to: Operations -> Workflows

  1. On the Workflows page, click + Add Workflow.

  2. Select whether to start from a Pre-built Template or Build from Scratch.

  3. Give a name to the Workflow.

  4. Set the Workflow Status to Enabled or Disabled.

  5. Click Builder to open the full-screen visual canvas.

Designing Your Workflow Canvas

The full-screen visual canvas provides an interactive layout to build and organize complex processes.

Canvas Controls

  • Pan & Zoom: Click and drag to move across the canvas, or scroll to zoom in and out.

  • Visual Nodes: Colored nodes represent different process steps and execution states.

Adding and Managing Stages

Stages divide your workflow into sequential phases (e.g., Detection -> Triage -> Response -> Recovery -> Reporting).

  1. Click + Add Stage to insert a new phase.

  2. Add a Stage Name and Description to specify ownership and responsibilities for that phase.

  3. Configure entry and exit conditions for each stage to dictate when an item moves forward.

  4. To delete an empty stage, click the Trash Bin icon (Note: Stages containing active nodes cannot be deleted until the nodes are removed).

Adding Workflow Nodes (Actions, Conditions, Wait States & Loops)

Nodes define the automated actions and logic within each stage. To add a step, click the + icon within a stage or between existing nodes.

Node Types Legend

Workflows use visual iconography to identify node function and execution sequence:

  • Action: lightning strike Triggers an automated action, such as creating a task, updating a record, or sending a notification.

  • Condition: branching arrows CardTypeIcon-2 Evaluates rules to route items down different paths based on specific criteria.

  • Wait for: hourglass CardTypeIcon-3 Pauses workflow execution until a required event or prerequisite condition is satisfied.

  • Loop: looping arrows CardTypeIcon-4 Repeats a set of actions until a specified condition is met.

Monitoring Workflow Execution & Debugging

Global Workflow Runs Log

To verify if workflow steps executed successfully or to troubleshoot issues:

  1. Go to Operations -> Workflows.

  2. Select the Runs tab.

  3. Locate the target execution run and click Details.

  4. Review the step-by-step execution history, timestamps, error logs, and current status.

Item-Level Progress Tracking

You can track active workflows directly on specific records (such as an Incident, Contract, or Supplier detail page).

The Item Workflow Overview displays:

  • Workflow Name and Trigger Timestamp

  • Current Stage and Status

  • Completed Step History

To view past workflows associated with an item, toggle on Show Completed inside the item details tab.

Common Use Cases

  • Incident Management: Map the complete lifecycle from initial intake and triage to notification, resolution, and post-incident reporting.

  • Contract Lifecycle Management: Track contract reviews, assign approval tasks at specific stages, and trigger renewal notices.

  • Supplier Risk Assessments: Send vendor questionnaires, enforce completion before review stages, and adjust supplier risk ratings automatically.

  • Risk Governance: Coordinate multi-departmental risk mitigation steps and ensure deadline compliance.

Common Questions

  1. Can I remove safely remove a step with subsequent steps? No, if you're removing a step all subsequent actions and stages will be deleted.
