Data reports

Overview

The Data reports feature lets you design and export custom reports in Excel or CSV format. You can build each report from scratch, defining the exact structure and layout to match your organization’s needs.

Once created, your report is automatically populated with the relevant records from Formalize. This flexibility makes it easy to generate clear, targeted reports for stakeholders, using familiar formats and showing only the exact information you choose to include.


Creating a New Data Report

  1. Navigate to Insights > Reports in the main sidebar menu.

  2. Click Add data report.

  3. Enter a clear, descriptive name for your report.

  4. Click the Source dropdown menu and select the primary Formalize module you want to report on (for example, Suppliers).

  5. If needed, you can add Filters to limit the scope of your report. The report will include only the records where the conditions defined are met.

    Use Groupings to pull data from multiple related modules into a single report. For example, you can generate a report that lists Suppliers (your Source) alongside their connected Contracts (your Grouping).

    This can be done for up to 3 groupings, so you can create a report with up to 4 connected resources.


Configuring Columns

Once your basic report settings are defined, you must specify which columns the export will contain. Each column in your exported file corresponds to a specific data field in Formalize.

  1. Click Add column.

  2. In the Header field, type the name you want to appear at the top of the column in your export file.

  3. Click the Source field dropdown list and select the correct data point. The system will automatically populate the Column value field based on your selection.

  4. Repeat these steps for each column you want to include in your export.

If you added a Grouping, you can add columns for that connected data.

The steps are the same but you need to select your data point from the Grouping category instead of the Source category.

Once you have added all your desired columns, ensure you save your configuration. Your report is now ready to be exported.

Exporting Your Report

Once you have saved your Data Report, you can export it with the most up-to-date system data at any time.

  1. Navigate to Insights > Reports.

  2. Check the box next to the Data report you want to download.

  3. At the bottom of the page, click Export as.

  4. Select either Excel or CSV. The file will automatically download to your device.
