Policies overview

Overview

The Policy module is your centralized workspace for drafting, managing, and storing organizational policies. You can assign owners, attach supporting details, and maintain clean version histories without relying on scattered documents.


How to create a Policy

  1. Navigate to Compliance -> Policies.

  2. Click Add Policy.

  3. Enter a name for your policy.

4. In the policy details section, select your preferred format for the policy content:

  • Editor: Write, format, and edit your policy text directly within the platform.

  • PDF: Upload an existing policy document as a PDF file.

When you create a new policy, it automatically starts in Draft mode as Version 1.0.


Updating an existing Policy

Once a policy is published, you cannot edit it directly. To make changes you must create a new version.

How to create a new version of an existing policy:

  1. Navigate to Policies and open the specific policy you want to update.

  2. Click the Create Draft button located at the top right of the policy page.

  3. Enter a name for the new version.

  4. Update the policy content using the Editor or by uploading a new PDF.


Policy Settings

  1. Click on the specific policy you want to configure or create a new one.

  2. Click the Policy settings tab.

Below is a breakdown of the configurations you can manage within a policy's settings:

  • Approval Settings: Define a pre-set approval flow that the policy must pass through before it can be published.

  • Acceptance: Choose which employee groups must read and accept the policy. You can automate this process so the system automatically sends an acceptance request whenever a new employee joins the group or when a new version of the policy is published.

  • Folders: Assign the policy to a designated folder to keep your Policies module clean and easy to navigate.

  • Responsible Users: Assign one or more users as the owner of the policy. Depending on your organization's role configurations, this grants them permission to edit, update, and manage the document.

  • Sharing Settings: Generate a direct link to share your policy outside of the standard platform views. You can select All (allowing anyone with the URL to view it) or Employs only (ensuring only authenticated employees can access it).
