Microsoft Teams Integration

Learn how to install and configure Microsoft Teams integration with Formalize

Overview

Formalize offers a native integration with Microsoft Teams that enables sending notifications to a specified channel in Teams when an action has been completed in Formalize. Here we'll walk through the installation process, as well as look at configuring a practical use case scenario.


How to install the Microsoft Teams integration

To begin, you'll first need to request the Microsoft Teams integration.

  1. Navigate to Settings > API and Integrations. From there you'll find Microsoft Teams in the list of available integrations. Click on Learn more in the Microsoft Teams section to go to the integration details page.

  2. On the Microsoft Teams integration details page you'll now click on Request installation.

  3. In the pop-up window, click on Request access.

  4. The system will display a notification that your request to install the integration has been sent to our team. Installation requests are typically approved within 1 - 2 business days.

    * Until the request has been approved you'll see Request pending on the Jira integration details page. If after 2 business days the request has yet to be approved, please send an email to support@formalize.com.
  5. Once the request has been approved by one of our team members you'll see the option to install the integration. Now you may click on Install on the Microsoft Teams integration details page.

  6. On the following pop-up page you'll be provided instructions to visit the Teams Marketplace to install the Formalize app there to complete the integration installation.

  7. After searching for Formalize in the Apps section of your Microsoft Teams account, click on the "Add" button (in the screenshot below this button is labeled as "Open" since it was previously added).

  8. Select the channel for the Team you'd like to receive messages in (here for example we select "Demo Channel" in the "Integration Demo" team.

  9. A complete Integration Setup message should now be sent via the bot to the selected channel in the team. Click on the "Complete Setup" button.

  10. You'll then be taken to the Teams integration details page in Formalize where the credentials will be verified. Once the credentials are verified you'll see the message "You are now successfully connected!"

    How to use the Microsoft Teams integration

    With the Microsoft Teams integration successfully connected you are now able to automatically send a message to the connected Teams channel when a new resource or object has been created or updated in Formalize. This may be accomplished by following the steps outlined below.

    1. Here we create an automation that is set to trigger when a new Supplier is created. We then create an action configured to send a message to Microsoft Teams.

    2. Then we select the configured channel in Teams and compose a message to check the new Supplier, utilizing the trigger variable "Name" to include the specific name of the new Supplier.

    Once the automation has been enabled and saved, a message will be sent to Microsoft Teams when a new Supplier is created in Formalize.
